During the roundtables with stakeholders (Activity 2) you have identified what expert studies and site analyses are required to prepare the project brief (e.g., dendrological survey, evapotranspiration survey, subsoil quality assessment, survey of potentials for overnight accommodation of homeless people, furniture inventory, demographic analysis, etc.) and designate the responsible party for their preparation.

3.1  Description and objective of the activity

The expert studies, together with the analysis of needs (Activity 6), are important materials upon which the project design will be based. With some of the studies and analyses, you do not need to wait for the outcomes of the roundtable(s), and you can commission them in advance according to the project's focus. For instance, if the project aims to modify rainwater management and rejuvenate tree lines, you can commission a hydrogeological survey, a seepage survey, and a dendrological analysis from the outset. Conversely, if the project focuses on, for example, developing a sustainable tourism strategy, you may commission a survey and monitoring of tourist movements and an assessment of the economic health of establishments prior to the roundtables. Additional analyses can be commissioned subsequently based on insights emerging from the roundtables.

3.2 Responsible person

Planning Coordinator of the City District

3.3 Who to contact

  • City District Mayor's Office
  • IPR Prague (relevant offices and persons according to the nature of the project for consultation)
  • IPR Participation Office (support in project planning, consultation)
  • City of Prague Departments (relevant offices and persons according to the nature of the project for consultation)
  • City of Prague Organisations (relevant offices and persons according to the nature of the project for consultation)

Important:

  • Administrators (City District, City of Prague)
  • Owners
  • Key local institutions
  • Others as appropriate (developers, government organizations, etc.)

3.4 Individual steps (recommended)

A. Prepare a list of expert studies and site analyses including the departments that will commission them

Most of the studies and analyses will be commissioned by individual city district's departments and City of Prague partner organizations. For instance, the dendrological analysis may be commissioned by the city district's Environment Department or possibly the City of Prague's Environmental Protection Department - this depends on agreements made during roundtables or subsequent discussions.

B. Commission individual studies and analyses

Commission individual expert studies and analyses from contractors and share the finalized documents with relevant stakeholders.

3.5 Outputs of this activity (recommended)

Examples of outputs for inspiration; not all are mandatory:

3.6 Budget

Expert studies and analyses can be funded through the city districts' budget or the planning coordinator's budget. However, some analyses may receive funding from partners, especially from the City of Prague's budget or private owners/investors. For assistance with this matter, please contact IPR.

3.7 Timeframe (indicative)

The timeline depends on the nature of the project and the volume of documentation, ranging from weeks to months.

3.8 Note of caution

It is essential to carefully plan the entire process of commissioning documents/services from experts. Identify the person within the city district responsible for the commission, establish the timeline for the entire process (including the deadline for the brief, order placement, supplier selection, handover of the preliminary draft, and delivery of the finalized product), and estimate the overall cost of the process.

3.9 Communication guidelines (indicative)

At this stage, communicate only with the stakeholders. There will be time to communicate with the public in the next activities and phases.

3.10 Parallel activities

Given that conducting expert studies and analyses may span several months, alongside Activity 3, you can begin preparations for user and community mapping (Activity 4) and initiate the groundwork for Activity 5 (setting up a detailed process plan) and Activity 6 (analysis of needs).
