Building upon the previous phases of the participatory process and public engagement, it is crucial to keep local residents informed about the final design concept, study or solution. Even if the final version contradicts the preferences of some users, transparent communication is always more appreciated by the public than keeping silent.

10.1 Description and objective of the activity

During this phase, two-way communication tools are used less frequently, and instead, visual presentation forms of the final design concept, such as an exhibition in a public space, a participation container or stand, or a newspaper insert are utilized. In certain cases, if time allows, a meeting may be organized with specific stakeholders, especially those actively and extensively involved in the entire project preparation process. It is crucial to include the presentation of the final concept in your communication plan (and budget) to achieve maximum public coverage.

10.4 Individual steps (recommended)

 

A. Update the Communication plan

Adjust the communication plan to align with the project implementation experience to date, shown public interest, and project needs. Reach a consensus within the communications team regarding the communication tools to be used for informing the public about the final design concept.

B. Present the final design concept to the public

Based on the existing communication plan, organize activities to present the design concept in public space (if agreed upon). Consider the format of the presentation, required graphics and prints, additional permits (e.g., placement permits for the placement of signs), and if needed arrangements for securing external contractors.

If external contractors are engaged, the budget of the planning coordinator may be utilized.

Budget: Allocate funds for the final presentation (presenter, rentals, etc.), as well as for exhibition panels, placement permits, etc.
